Scientific Coordination Assistant

We are looking for an additional assistant for the Department of Molecular Ecology to organize the increased administrative and scientific coordination required for the intensive work in newly funded excellence clusters and international student exchange programs, as well as the management of research proposals and reports.

Your tasks

The candidate will assist the Department Director and work together with the Department Assistant. The main duties of the scientific coordination assistant will cover the following topics: work with scientific literature and related graphical treatment of scientific data, organization of student and staff recruitment, and assistance with science-related international cooperation and communication. The tasks of the scientific coordination assistant will be:

1. Work with scientific literature:

  • Translation of scientific texts for different purposes.
  • Preparation of literature / research achievement summaries.
  • Assistance in writing grant proposals and reports.

2. Work with scientific graphics, images, presentations:

  • Preparation of scientific graphs for grant proposals and publications.
  • Technical assistance in making scientific presentations.
  • Development and maintenance of a database of images for scientific papers and presentations.

3. Assistance with organization of graduate student, PhD student and PD recruitment:

  • Assistance with PhD student and PD applications and interviews.
  • Organization of student exchange programs, and keeping records on students, mentors and performance evaluations.
  • Writing letters of recommendation and maintaining a database of recommendations.

4. International cooperation and communication:

  • Assistance in management for writing international grant proposals and reports.
  • Communication with international partners, collaborators and maintaining and organizing administrative correspondence.
  • Communication with excellence cluster coordinators.
  • Communication with US authorities, companies and Universities to support field campaign activities.


Our offer

We are looking for highly organized, communicative individual with a background in research organization to join our group at a full- or part-time basis with a fixed contract for 5 years. The candidate must have an excellent command of written and spoken English and be highly computer literate. Payment follows the German collective wage agreement for government service workers (TVöD-Bund) and depends on qualifications and professional experience. Various fringe benefits in accordance with public service positions are included. We are looking to fill the position by the end of 2018 but the position will remain opened until filled.
